How to Set Up & Manage Departments

Departments organize your people into clean, functional areas that unlock stronger reporting and more nuanced coaching

What Departments Can Do:

  1. They aim company goals at one team. Every company goal is set either for the whole company or for specific departments. People in that department pick it up, everyone else does not.

  2. They narrow your reporting. The Leaderboard, the Activity page and the Proficiency Scorecard can each be filtered by department, so you can look at one team at a time. Filtering changes who you see, never anyone's rank or score. This unlocks nuanced insights that you otherwise may not be able to package.

  3. They allow you to organize your teams and manage users.

Departments are visible to all Org-Admins. Only admins can create, rename or delete them, but every user can see their own department.

Creating a department

  1. Open Users and select Edit Departments at the top right of the page.

  2. Type the name into New department name, then select Add.

  3. Repeat for each department you need, then select Close.

The dialog lists every department with the number of people in it, so you can see which teams are set up and which are still empty.

Putting Someone in a Department

  1. Find the person on the list of your users by going to 'Users' On the left-hand side.

    1. . Searching by name or email narrows it down.

  2. Select the three dots at the end of their row, then Change departments.

  3. Select Add department and choose the department you want. It appears as a chip above. Repeat to add them to more than one department.

  4. Select Save Changes.

The Departments column shows each person's department and can be filtered next to the search bar.

You can set someone's department before they have signed in for the first time. If you leave it blank, they are asked to choose one themselves when they do. Once you have set it, they cannot change it unless they also have admin permissions.

Putting several people in a department at once

You do this from the Participants tab. That list holds everyone on your roster, including people who already have a login, so you can use it for anyone. People with a login are marked as a user.

  1. Select the Participants or Users tab.

  2. Tick the people you want. The tick box in the header row selects everyone on the page.

  3. In the bar that appears, select Edit Departments.

  4. Select Add department and choose a department. It appears as a chip. Repeat to add more than one.

  5. Check the line underneath, which says exactly what will happen, for example, "2 people will be added to 3 departments". The list below it shows each person you picked and the departments they are already in. Select the minus next to anyone you want to drop.

  6. Select the button at the bottom. It names what it is about to do, for example, Add 2 Users to 3 Departments.

This adds departments. It does not replace the ones people already have.

Removing someone from a department

  1. Select the three dots at the end of their row, then Change departments.

  2. Each department the person belongs to shows as a chip. Select the X on the chip you want to remove.

  3. Select Save Changes.

Removing someone from a department does not remove them from your organization. They stay on the list with no department until you give them another one.

Renaming or Deleting a Department

  1. Select Edit Departments, at the top right of the page.

  2. To rename one, select the pencil next to it, type the new name, then select the checkmark to save. The X next to it cancels without saving.

  3. To delete one, select the trash next to it.

Each department shows how many people are in it, so you can check before you delete one. Deleting a department does not remove the people in it. They stay on your list with no department.
